Privacy Policy

Plain-English summary

Snapproof helps contractors document their tools for warranty and insurance claims. To do that we collect what's needed to identify you, store your tool inventory, and process subscription payments — nothing more. We do not sell your data, share it with advertisers, or use your photos to train AI models. The commercial AI vision providers we use are also contractually prohibited from training their models on photos sent through their paid APIs. You can export, correct, or delete your data at any time.


1. Who we are

Snapproof is operated by the Snapproof team. You can reach us at hello@snapprooftool.com.

For privacy questions specifically, write to that same address with "Privacy" in the subject line.


2. What we collect

2.1 Account information

When you create an account we collect:

  • Email address — used to sign you in and send service-related notices
  • Authentication identifier from Apple Sign-In or Google Sign-In if you use those (we receive a stable user ID from Apple/Google; we don't see your password)
  • Optional profile fields you fill in yourself: full name, company name, business logo

2.2 Tool inventory you create

When you snap a tool you create the following data, all owned and controlled by you:

  • Up to three photos per tool (the tool itself, the spec plate, and the receipt)
  • Brand, model, serial number, tool type
  • Purchase date, retailer, purchase price
  • Warranty terms, expiration, manufacturer claim/registration URLs
  • Claim filing dates (manufacturer warranty, insurance) you record yourself
  • Replacement-unit details if you record them
  • Any notes you add

2.3 Subscription information

If you subscribe to Snapproof Pro:

  • Your subscription status (active, expired, in trial)
  • The product you purchased and renewal date
  • We do not receive or store payment card numbers. Apple App Store and Google Play handle payments. We receive only the subscription state from our subscription management provider.

2.4 Diagnostic and operational logs

We keep limited operational logs to run the service:

  • Edge-function call counts (used to enforce rate limits and your monthly cap)
  • Crash and error logs from the app
  • Standard server access logs (timestamps, IP addresses, user-agent strings) retained for up to 90 days

We do not use these logs for advertising, profiling, or behavioral targeting.


3. What we don't collect

For clarity:

  • No advertising identifiers (IDFA, AAID)
  • No location data
  • No contacts, calendar, or microphone access
  • No cross-app or cross-site tracking
  • No biometric data (Face ID / fingerprint authentication happens entirely on your device — we never receive it)

4. How we use what we collect

We use your information only to:

  1. Operate Snapproof — store your inventory, process AI extraction, generate PDFs, deliver warranty reminders
  2. Process subscription billing through Apple/Google
  3. Communicate with you about the service (account confirmations, security notices, material changes to this policy)
  4. Diagnose and fix bugs
  5. Comply with legal obligations (tax records for subscriptions, lawful requests)

We do not use your information for advertising, marketing to third parties, or AI training.


5. Who we share data with

We use the following service providers, each bound by contract to use your data only on our instructions:

Photos sent to AI providers: Snapproof routes AI extraction requests to commercial AI vision provider partners under paid commercial agreements. Per those agreements:

  • Photos are not used to train AI models.
  • Photos may be retained briefly for abuse and safety review (typically up to 30 days) before being deleted. They are not retained otherwise.
  • Free or consumer-tier AI services that can permit training on user content are not used.

We use only paid-tier API access, which carries the no-training commitments above. We do not opt in to any feedback, fine-tuning, or model-improvement programs.

We do not sell your personal information. We do not "share" your personal information for cross-context behavioral advertising as defined under the California Privacy Rights Act.

We may disclose information if required by law (subpoena, court order), to protect rights and safety, or in connection with a corporate transaction (merger, acquisition) — in which case the successor will be bound by terms at least as protective as these.


6. How long we keep your data

7. Your rights and how to exercise them

You can do the following at any time:

  • Access: open the app and see all your data; or email hello@snapprooftool.com for a machine-readable export
  • Correct: edit any tool record or your profile in the app
  • Delete: Settings → Delete My Account permanently removes your account and all tool data
  • Export: email hello@snapprooftool.com and we'll send a JSON copy of your data within 30 days
  • Object / restrict processing: email us; we will limit processing to legal-basis-required activities

We will not retaliate against you for exercising any of these rights.

7.1 California residents (CCPA / CPRA)

You have the right to know what categories of personal information we have collected, to request deletion, to correct inaccurate information, and to opt out of "sales" or "sharing" of personal information. We do not sell or share your personal information as those terms are defined under the CPRA, so there is no opt-out to exercise — but you can still request access, correction, or deletion at hello@snapprooftool.com.

7.2 European / UK residents (GDPR / UK GDPR)

If you are in the European Economic Area, the United Kingdom, or Switzerland:

  • Our legal bases are: contract (operating the service you signed up for), legitimate interest (security, fraud prevention, product improvement), and consent (where required, such as marketing emails — which we currently do not send)
  • You have the right to access, rectification, erasure, restriction, portability, and to object to processing
  • You may lodge a complaint with your local data protection authority

To exercise any right, email hello@snapprooftool.com. We respond within 30 days.


8. How we secure your data

  • All traffic between the app and our servers uses TLS 1.2+
  • Data at rest is encrypted by our database and storage provider
  • Photos are stored in private buckets accessible only via short-lived signed URLs, scoped to the owning user
  • Row-level security policies enforce that no user can read another user's data
  • Passwords are hashed by our auth provider; we never see them
  • Biometric authentication for app unlock happens entirely on your device

No system is perfectly secure. If we discover a breach affecting your data, we will notify you within 72 hours of becoming aware where required by law.


9. International data transfers

Snapproof operates from the United States. If you use the service from outside the US, your information will be transferred to and processed in the US. By using Snapproof you consent to this transfer. Where required, our service providers rely on Standard Contractual Clauses or equivalent safeguards.


10. Children

Snapproof is intended for users 18 years of age or older. We do not knowingly collect information from anyone under 18. If you believe a minor has created an account, contact hello@snapprooftool.com and we will delete it.


11. Changes to this policy

We will notify you of material changes through the app and by email at least 30 days before they take effect. Non-material changes (clarifying language, fixing typos) may be made without notice. The "last updated" date at the top of this page reflects the most recent revision.
